Emergency & Contingency Plans
All races are held rain or shine unless conditions are deemed unsafe. Decisions regarding delays, course modifications, or cancellations will be made by race management in consultation with local safety officials.
We will make every reasonable effort to conduct the event as scheduled. However, if the race must be canceled, no refunds will be issued. This policy aligns with standard endurance event practices, where participants share in the inherent risks associated with race production and weather-related uncertainties.
Registration fees help cover the costs of planning and producing the event, including permits, staffing, race supplies, participant amenities, insurance, shirts, and administrative expenses.
In the event of inclement weather, acts of God, or unforeseen circumstances, we reserve the right to modify, shorten, delay, cancel, or eliminate any portion of the event.
Event Decision Process
- The Race Director, in consultation with local safety officials, will make all final decisions regarding delays, adjustments, or cancellations.
- Updates will be posted on the website and announced onsite through the PA system.
- Volunteers and staff on course will notify participants if the event is in progress
Emergency Procedures
In the event of an emergency, dial 911 immediately.
Safety personnel will be onsite before, during, and after the race. Volunteers, park rangers, and other safety staff will monitor the courses. All volunteers will be instructed to contact emergency services when necessary.
Inclement Weather Plan
If rain, lightning, storms, or extreme heat impact race day, the following safety procedures may be implemented. These plans are designed with athlete safety as the top priority and developed in consultation with experienced safety personnel and governing body guidelines.
Our goal is always to host a complete race whenever safely possible. Delays, shortened courses, or modifications may be used before considering cancellation.
Rain Only
- In cases of rain without dangerous conditions, races will proceed as scheduled whenever possible.
Lightning Procedures
- Race starts may be delayed until 30 minutes after the last observed lightning strike in the area.
- No athletes will be permitted on course while lightning is present.
- If lightning occurs during the race, athletes may be removed from the course until conditions improve.
Prolonged Storm Activity
If storms persist, we may:
- Delay start times
- Shorten race distances
- Modify courses
- Eliminate portions of the race
- Keep athletes closer to base camp or available shelter areas
Extreme Heat / Other Hazardous Conditions
The following changes may also be implemented:
- Shortened race distances
- Delayed starts
- Time limits imposed
- Modified aid station operations
- Self-service hydration stations with water and sports drink
Cancellation Policy
As an absolute last resort, the event may be canceled and will not be rescheduled.
No refunds will be issued under any circumstances.
